From QR menu to table ordering: design the flow clearly

A table QR code is not an ordering system by itself. Guests may view a menu, submit orders, and use a separate payment step. Define how these actions connect before introducing the flow. This guide explains the difference and offers questions to ask when choosing a setup.

What a QR menu does—and does not do

A QR menu is a digital menu guests open with a phone camera. It can show item names, descriptions, and options. If guests cannot send selections to staff, it is for browsing only and does not create an order. The business must keep its menu current and readable. Opening the menu does not process payment.

The guest, table, and team handoff

A table-ordering flow should associate the QR link with the correct table or session where supported. The guest selects items and submits the order. Details pass to the ordering screen used by staff, then follow the business's configured route to the preparation team or kitchen station. Staff review, prepare, and update the order. Define table delivery, guest updates, waiter calls, added items, and check splitting in the operating process. The confirmation should explain what happens next: opening the QR page alone does not mean an order reached the kitchen.

Ordering and payment are separate decisions

Ordering by QR and paying by QR are separate steps. Payment methods depend on the business’s provider agreements, devices and commercial and technical setup. Ask which payment steps are available for the proposed installation. A payment example in a demo does not establish live charging. Confirm external POS and payment-provider integration scope before agreeing a proposal.

A checklist for choosing a setup

Before deciding, ask: Will guests view the menu or submit orders? Does each QR identify a table? How are options and unavailable items shown? Which screen receives an order, who reviews it, and which kitchen station prepares it? What happens if an order is wrong, cancelled, changed, or repeated? Where does the guest see status? Which payment channel is used, and who receives funds? Test these scenarios in a demo with your menu, devices, and staff roles. Verify one representative table and record gaps before expanding.

Explore the kafeOS flow in a demo

kafeOS includes QR table ordering and table-check workflows. Request a demo through Softwexa to review items, tables, staff roles, and preparation steps for your business. It does not show a production payment or prove every integration is enabled. Confirm branch count, menu, setup, and acceptance scope.

Frequently asked questions

What is the difference between a QR menu and QR ordering?

A QR menu displays information. An ordering feature sends the guest's selection into the system and the business's configured team workflow.

Does scanning a QR code automatically send an order to the kitchen?

No. Opening the QR page does not create an order. The guest must submit it, and the business's routing and kitchen-station workflow must be configured and verified.

Can guests pay by card online through the QR code?

Payment methods and provider connections are evaluated separately from ordering. Confirm available options and installation scope in your demo discussion.

Can I see kafeOS with my own tables and menu?

Request a demo through Softwexa to review representative table, menu, team, and preparation scenarios. Demo data and screens are not proof of production payment or customer outcomes.
