kafeOS features: ordering, tabs, checkout and loyalty

kafeOS is software for cafés, restaurants, doner shops, bakeries and fast-food businesses that brings ordering, table tabs, checkout, a kitchen display, a loyalty programme and a branded mobile app into one system. This page explains what each module does, who uses it and which points are confirmed separately during setup.

How orders come in: table, checkout and app

A guest scans the table QR code with a phone

kafeOS takes orders through three channels. A guest scans the QR code on the table, opens the menu without downloading an app and sends the order, which arrives with the table number. A cashier enters orders on the touchscreen checkout. Orders placed in the branded app are prepared for pickup, and the customer can choose a collection time up to seven days ahead. Orders from all three channels reach the same kitchen display and the same reports.

  • Table QR ordering: orders arrive with the table number, with "Call server" and "Request the bill" buttons
  • Orders at checkout: a basket on the touchscreen and customer recognition by QR
  • Pickup through the app: orders for a later time, with a phone notification when ready
  • There is no courier delivery workflow

Table tabs, the server's tablet and checkout

A server splits a table's bill between two guests on a tablet

A tab opened at a table is followed on the server's tablet and at checkout until the bill is closed. Servers add new rounds to a table, see server calls and split the bill between guests. A request to remove an item that has already been sent goes to checkout for approval, depending on the business's settings. Shifts are opened and closed at checkout. A Z report is taken at the end of the day, and refunds need a manager's approval.

  • Server's tablet: tables, order rounds, server calls and bill splitting
  • Recording reservations and seating guests
  • Checkout: shifts, Z reports and manager-approved refunds

Which payment types does checkout accept?

Cash, digital wallet, gift card, meal card and subscription credit are separate payment types at checkout. One bill can be settled with more than one type. Online card payments are not currently active in production. Physical card terminals, meal card providers and bank connections are assessed separately during setup, based on the business's own contracts.

Kitchen display (KDS)

A cook works at the counter while order cards show on the kitchen display on the wall

Orders from checkout, the app and the tables reach the kitchen display with their source and table label. The cook marks an order as "Preparing" and then "Ready", and a customer who ordered in the app sees that status on their phone. The whole team can see which stage each order is at, without carrying paper tickets.

Loyalty programme: points, tiers and rewards

At a birthday celebration, a phone on the table shows a gift reward notification

At checkout, the customer scans the QR code in their app, is recognised and earns points on the purchase. In the customer app these points are called "stars" (yıldız). The business sets tiers, rewards and earning rules in the panel. Birthday rewards, friend referrals and streak goals that reward consecutive visits can also be added to the programme.

  • Tiers and a rewards catalogue
  • Birthday rewards and friend referrals
  • Streak goals: rewards for consecutive visits
  • Apple Wallet and Google Wallet membership card (once developer accounts are set up)

Digital wallet, gift cards and subscriptions

At checkout, a tick on the phone screen shows the wallet payment was confirmed

The digital wallet holds the balance a customer has loaded with the business; if the business chooses, each payment is confirmed on the phone. A gift card is spent at checkout as its own payment type. Subscriptions such as a monthly coffee package are used at checkout by QR, and the customer tracks what is left in the app. With the suspended item feature (askıda), a customer can buy an item for someone they have never met.

Campaigns and customer messaging

Eight campaign types can be set up in the panel: points multiplier, buy X get Y, percentage discount, fixed-amount discount, first order, birthday, spend threshold and coupon code. App notifications are sent from editable templates. Each customer's commercial messaging consent under KVKK and İYS is recorded separately.

TV menu boards

A staff member marks an item as sold out on a tablet, and the TV menu shows a Sold out label

The wall TV shows a menu prepared in the panel's design editor. When an item sells out, staff mark it and a "Sold out" label appears on that item on the TV straight away. Each screen opens in a browser through its own link, so there is no extra software to install.

Branded mobile app

The app on the customer's phone is published with the business's name, logo and colours; kafeOS stays a small signature. Customers order in the app, see their points and rewards, and use their wallet and QR code. Who owns the store account and who handles publishing is written into the proposal. The customer list and order history stay in the business's panel.

Admin panel: stock, recipes, purchasing and reports

When an item with a recipe is sold, stock goes down automatically, and an alert arrives when it runs low. Supplier orders, stock transfers between branches and expenses are tracked in the same panel. Reports break sales down by product, branch and customer, and menu analysis shows which items earn the most. In multi-branch businesses, staff permissions are separated by branch, and franchise invoices are managed in the panel too.

e-Arşiv invoicing and legal compliance

kafeOS has the groundwork to issue e-Arşiv invoices through an authorised integrator; which integrator is connected is decided during setup. KVKK privacy notices, explicit consent and İYS commercial messaging consents are recorded. Customers have a separate account deletion page.

Points confirmed separately during setup

Demo screens run on sample data. The points below depend on the business's contracts and devices, so they are confirmed in writing at the proposal stage.

  • Online card payments are not currently active in production
  • Connections to an external POS, cash register or card terminal are reviewed separately
  • e-Arşiv needs an integrator, and meal cards need a provider contract
  • Apple Wallet and Google Wallet cards need developer accounts
  • There is no public price list; each proposal is based on branch count and scope

Frequently asked questions

Which businesses is kafeOS for?

It is designed for cafés, restaurants, lokantas, doner shops, bakeries and fast-food businesses. A single-site business and a multi-branch chain each choose the modules they need.

Do I have to take every module?

No. Ordering, table tabs, loyalty and the other modules are chosen to fit your needs, and the chosen scope is set out in the written proposal.

Is there delivery or courier support?

Orders placed in the app are currently prepared for pickup. kafeOS does not include a courier delivery workflow.

Who keeps the customer data?

The customer list, order history and loyalty records are kept in the business's admin panel. Because the app is published under the business's own brand, the customer relationship stays with the business.

How can I try the features?

In a demo meeting we show the workflows that suit your type of business, using sample data. If it is a good fit, a pilot can be planned at one or two branches with a written duration and acceptance criteria.

Let's review your business workflow together

Tell us your business type, number of branches, and top priority. We can review the relevant workflows in a demo and define the pilot scope together.
